Osmond Technologies, LLC · For clients
Email Policy
Last updated October 25, 2026. For existing clients, these terms take effect with your next renewal.
Every hosting account with Osmond Technologies, LLC can include basic email on our server. This page explains what that email is—and isn't—and why we strongly recommend a dedicated email provider instead.
1. Our Recommendation: Use a Dedicated Email Provider
For business email, we strongly recommend a dedicated email provider such as Google Workspace, Microsoft 365, or Zoho Mail. These services are built for email: better spam filtering, more reliable delivery, their own backups, and apps for every phone and computer.
You pay the provider directly. We can set it up for you and connect it to your domain, billed at our standard support rate of $175 per hour, with a one-hour minimum.
2. Email on Our Server
Basic email on our server is available with every hosting account, and creating mailboxes is free. It's provided as-is, as a convenience—not as a managed email service. If email is important to your business, please use a dedicated provider.
Setting up email on your phone, computer, or mail app, and troubleshooting email problems, is billed at our standard support rate.
3. Email Is Not Backed Up
Email stored on our server is not included in our backups. If messages are deleted, lost, or damaged, they cannot be recovered by us. Keep your own copies of any messages you need.
4. Spam
Our server includes basic spam filtering, but we don't control what other people send you. We're not responsible for spam that reaches your inbox, or for legitimate messages that are filtered, delayed, or lost.
5. Delivering Your Email
We set up the standard records that help other mail systems recognize your email as genuine (known as SPF, DKIM, and DMARC). This is done on a best-effort basis. Whether your messages land in someone's inbox or spam folder is decided by the receiving company, and we cannot guarantee delivery of any message.
The same applies to email sent by your website, such as contact form notifications. Reliable form delivery may require connecting your website to your email provider, which is billed at our standard support rate.
6. Forwarding
Forwarding email from our server to an outside provider (such as Gmail) is not supported. Forwarded spam can cause those providers to reject your mail and can harm delivery for everyone on our server. If you want your email in Gmail or Outlook, use Google Workspace or Microsoft 365 directly.
7. Your Responsibilities
You are responsible for:
- using strong, unique passwords for every mailbox
- keeping your mailbox cleaned out; full mailboxes reject new mail, and we may set reasonable storage limits
- the security of every mailbox on your account and everything sent from it
Bulk, marketing, or newsletter email must be sent through a service built for it, such as Mailchimp or Constant Contact—never through our server.
8. Compromised or Abusive Mailboxes
If a mailbox appears to be hacked or is sending spam, we may disable it immediately, without notice, to protect our server and other clients. We'll contact you as soon as reasonably possible.
Osmond Technologies, LLC is not liable for anything sent from a compromised mailbox, including fraudulent invoices, scams, or messages sent to your customers.
9. Privacy
We only access the contents of a mailbox when you ask us to troubleshoot it, or when needed to stop abuse or protect our server.
10. Suspension & Leaving
Email on our server is part of your hosting account. If your account is suspended for nonpayment, email stops working too until service is restored, as described in our Terms of Service.
When your hosting ends, email on our server stops. Help exporting or moving your email is billed at our standard support rate. If you use Google Workspace, Microsoft 365, or another provider, your email stays with them.
11. Liability
Our total liability is limited as described in our Terms of Service.
